DataStars is a real estate intelligence and advisory firm based in Miami Beach. We build data products that help lenders and investors see distress before it surfaces, and we advise institutional property owners on portfolio strategy. We are a small, senior team that uses modern tooling aggressively. The work is fast, the standards are high, and the deliverables go to people who make real decisions with them.
You will own execution across two business lines that share infrastructure but run on different timelines.
The advisory practice operates on portfolio-scale disposition mandates. That means large asset counts, multi-tranche sale processes, multiple broker relationships running in parallel, and a paper trail that has to be airtight from NDA through closing. This is the heavier and more visible half of the role. When a mandate is active, it will consume the majority of your time.
The intelligence practice runs on a continuous build cycle: data pipeline rollout, subscriber onboarding, and per-file client delivery. Steadier cadence, lower peak intensity, but it doesn't stop.
This is a coordination role, not a strategy role. The CEO sets direction. You make sure the work ships on time, the right people are unblocked, and nothing falls through the cracks.
- ·Own the ClickUp workspace and master trackers for active disposition mandates covering large asset portfolios
- ·Manage the virtual data room structure alongside the analyst: index design, permission tiers, activity monitoring, version control on legal documents
- ·Track broker engagement timelines by tranche: outreach, NDA, package delivery, LOI, PSA, closing
- ·Coordinate document workflows between the analyst, external brokers, buyers, and legal counsel
- ·Maintain the master paper chain: NDAs, listing agreements, offers, purchase agreements, closing documents
- ·Flag timeline drift, resource conflicts, and paper-chain gaps before they become problems
- ·Manage sprint cycles for data pipeline buildout and new market coverage rollout
- ·Coordinate handoffs between engineering and the analyst on research deliverables
- ·Track subscriber onboarding timelines and per-engagement delivery commitments
- ·Maintain the product roadmap and flag sequencing conflicts before they become blockers
- ·Run weekly standups (30 min max, no status theater)
- ·Maintain a single source of truth for deliverable status, blockers, and upcoming deadlines
- ·Manage vendor relationships on the ops side: data platforms, document environments, county data providers
- ·Escalate decisions to the CEO with context and a recommendation, not open-ended questions
- ·5+ years in project management, transaction management, or operations in real estate, capital markets, or professional services
- ·Direct experience coordinating complex transactions with multiple counterparties, brokers, and legal documents
- ·ClickUp proficiency (or equivalent: Asana, Monday, Jira) with demonstrated ability to build workspaces from scratch
- ·Proven ability to manage multiple concurrent workstreams with different cadences and severity levels
- ·Discretion. This role sees everything: client identity, deal economics, counterparty terms, legal documents. You will sign an NDA before you see the file
- ·Written communication that is clear, concise, and does not require follow-up questions to decode
- ·Comfort working in a small team where PM is not a title, it is the entire function
- ·Working familiarity with AI tools in a professional context. We use them daily and expect you to
- ·Prior experience on the principal or advisory side of commercial real estate dispositions, acquisitions, or capital markets
- ·Familiarity with virtual data room platforms (Datasite, Intralinks, or similar)
- ·Experience managing broker or counsel relationships on live transactions
- ·Background coordinating engineering and non-engineering teams simultaneously
